PROGRAM SUPPORT SPECIALIST
The Program Support Specialist is responsible for ensuring residents DCFS group home charts remain organized and in compliance. The Program Support Specialist is also responsible for assisting with the general clerical operations within the Residential Department.
ESSENTIAL JOB DUTIES:

- Follow the Trauma Informed Care philosophy when supporting and addressing the needs of the children and families Maryvale serves.
- Utilize Trauma Informed Care approach in recognizing the presence of trauma symptoms and acknowledge the role that trauma has played in the lives of the clients/residents.
- Assist in the healing process by developing appropriate RICH® (Respect, Information, Connection and Hope) relationships with those served.
- Follow Universal Precautions when exposed to blood and body fluids.
- Follow Occupational Safety Health Administration (OSHA) regulations pertaining to safety and the use of equipment/machinery.
- Support Maryvale’s Performance and Quality Improvement Plan and participate in discussion regarding department or program goals, data collection and/or analysis.
- Responsible for receiving, reviewing and forwarding Needs and Services Plans.
- Responsible for generating Needs and Services Summary Notifications for all providers that includes: Initial Plan, Quarterly Report, and Discharge Summary due dates.
- Responsible for tracking deadlines for all DCFS Needs and Services Plan documentation and ensuring notifications are sent out to providers, supervisor, and administrators when out of compliance issues arise.
- Responsible for typing cover page, editing, processing, and distributing finalized Needs and Services Initial Plans, Quarterly Reports, and Discharge Summaries for all clients of Maryvale’s Residential-Based Program.
- Responsible for maintaining and updating DCFS CSW and Attorney contact information for all residents who are court dependent.
- Responsible for creating and maintaining client’s charts in accordance with the requirements of the Department of Mental Health. Including: filing paperwork from Therapists/DCFS Workers/courts/schools and medical department after reviewing each document for thorough completion and accuracy.
- Responsible for completing and tracking auditing of charts by reviewing charts, assess missing data and notifying appropriate staff to obtain required completions.
- Generate, organize, file, and audit residents DCFS group home charts.
- Participating in the Utilization Review Committee meetings bi-weekly to assist with ensuring compliance standards are met for the DCFS group home documentation.
- Responsible for updating preliminary Admission, Discharge, and Transfer roster and distributing to designated Maryvale staff.
- Responsible for distributing notifications regarding finalized resident Admissions, Discharges, and Transfers.
- Maintain, file, and organize Maryvale’s Transitional Housing Program and Aftercare documentation.
- In collaboration with Group Supervisors, ensure monthly clothing inventories are accurate and maintained in a timely manner.
- Assists Education Specialist with Title 1 projects including updating records.
- Assist in typing SIRs into county Itrack online system, as needed.
- Prepare various reports in an accurate and timely manner.
- Responsible for pulling, preparing and quality assurance of files for auditing.
- Responsible for submitting SIR’s as needed.
- Assist Program Assistant as needed.
- Attend and take minutes at Supervisor’s meeting every Wednesday afternoon and at Weekend Planning meeting every Friday morning.
- Assist Program Assistant with updating and creating forms.
- Assist Program Assistant with filing of FYI forms and SIR’s.
- Assist Program Assistant with making copies for trainings.
- Campus Supervisor Office coverage when needed.
- Perform other duties as needed.
- Responsible for tracking Key Performance Indicator’s.
- Prepares statistical budget reports on contractual contract provider units and reports findings to upper management.
- Will serves as an error correction for agency in the IBHIS electronic system as needed.
- Responsible for running statistical and quantity reports for the residential and emergency placement programs.
- Will utilize computer data systems to compile and analyze Key Performance Indicator data and update Senior Director of data changes in statistical data.
- Responsible for assisting with the development of program policy and procedures.
QUALIFICATIONS:
- Must have a minimum of a High School Diploma or GED and two years’ experience in a professional office setting.
- Must be proficient in Microsoft Office products, including Word, Excel, and Outlook, Preferred knowledge of MIS Systems, and 65wpm accuracy.
- Ability to multi-task, prioritize, and change priorities as appropriate. Ability to work independently and to self-monitor.
- Advanced organizational skills.
- Strong problem solving skills and attention to detail.
- Excellent written and communication skills are a must.

Vacation - Maryvale recognizes the value of rest and relaxation and encourages Associates to take time off with their families. Regular full-time Associates accrue paid vacation leave according to the following schedule:
- 1 to 3 years of service - 10 working days per year
- 4 to 7 years of service - 15 working days per year
- 8 years or more of service - 20 working days per year
Sick Time - Associates accrue sick time at 1 hour for each 28.9 hours of work.
Life Insurance - Maryvale pays for a basic Life & Accidental Death & Dismemberment (AD&D) Insurance Policy that pays beneficiaries a flat $15,000 death benefit.
401(k) Pension Plan - Associates are eligible to enroll in the 401(k) Retirement Plan on the first day of the month after their hire date.
- Match of Employee Contributions: After completing one year of service, Maryvale will match 100% of an Associate’s salary deferral up to a maximum of the first 3% (1%-3%). In addition, Maryvale will match 66% of an Associate’s salary deferral up to a maximum of the next 3% (3%-6%).
- Non-Elective Contribution: After an Associate completes one full year of service, Maryvale on the Associate’s behalf, will begin making a fixed non-elective contribution equal to 3% of the Associate’s income. This contribution is separate from the matching contribution and vests over a 5 year period.
Long Term Disability Insurance - Maryvale offers Long Term Disability Insurance to all benefits-eligible Associates at no cost to the Associate. Maryvale pays the full premium for these benefits which provide salary protection in the event an Associate becomes disabled for an extended period of time.
